This Privacy Policy explains how Al Madina Al Monawara School ("we", "us", "the school") collects, uses, shares, and protects personal information when you use our websites and mobile applications for staff, guardians, and students (together, the "Services").

1. Information we collect

  • Account details: name, username, email address, phone number, and (for staff) home address and employment details.
  • Student records: name, student number, date of birth, gender, national ID number, classroom, guardianship links, attendance, grades, and evaluations.
  • Guardian records: name, phone number, email address, national ID number, and the students linked to you.
  • Financial data: wallet balances and payment/transaction history where the school operates a wallet.
  • Device & usage data: device type and push-notification token, app language, and technical logs needed to run and secure the Services.
  • Content you submit: complaints, suggestions, uploaded files, and messages.

2. How we use information

  • To provide the Services: enrolment, timetables, attendance, grading, communication, and payments.
  • To send administrative and educational notifications you have asked for or that the school is required to send.
  • To keep the Services secure, prevent abuse, and troubleshoot problems.
  • To meet legal, accounting, and safeguarding obligations.

3. Legal bases

Where the GDPR or similar laws apply, we process personal data on the basis of: performance of our agreement with you or your school; compliance with a legal obligation; your consent (which you may withdraw at any time); and our legitimate interests in running the school safely and efficiently.

4. Sharing

We do not sell personal data. We share it only with: school staff who need it for their role; a guardian and their linked students; service providers who host or support the Services under contract; and authorities where the law requires it.

5. Children's data

The Services are used by and about children. We collect students' personal data so the school can educate and care for them. Student accounts are created and managed by the school, and a student's linked guardian can act on the student's behalf.

  • We collect only the student data the school needs for education, safeguarding, and legal record-keeping.
  • We do not use children's data for advertising or profiling.
  • A guardian may ask us to access, correct, or delete a student's data by contacting hello@example.com. Some academic and safeguarding records must be retained for a period set by law even after an account is closed.
  • Deleting a guardian account does not by itself delete the linked students' school records.

6. Retention

We keep personal data for as long as the account is active and then for as long as we are required to for legal, accounting, or safeguarding reasons. Financial transaction records are retained for the period required by applicable tax and audit law even after an account is deleted; they are unlinked from your identity where possible.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete, export, or restrict the processing of your personal data, and to object to processing or withdraw consent. California residents have the right to know, delete, and opt out of "sale" or "sharing" (we do neither), and not to be discriminated against for exercising these rights. 8. Deleting your account

You can ask us to delete your account at any time. We use a grace period: your account is deactivated immediately, and after the grace period your personal data is permanently deleted or irreversibly anonymised. Financial records are retained as described in section 6.

9. Security

We use technical and organisational measures to protect personal data, including encryption in transit, access controls, and hashed passwords. No system is perfectly secure, but we work to protect your information and to notify you and the authorities of a breach where required.

10. Changes to this policy

We may update this policy from time to time. We will post the new version here and update the "last updated" date above. Significant changes will be communicated through the Services.
